Wholesale Order Terms

Thank you for your interest in sourcing from XAVORO. Please review our order terms below. For custom arrangements or special requirements, contact us directly.

Order Confirmation

All orders require written confirmation (email or WhatsApp) before production begins. Once confirmed:

  • Order details (SKU, quantity, unit price, total amount, incoterm) are locked
  • Production schedule is confirmed with your requested delivery date
  • Cancellation after production starts may incur cancellation fees

Always review your order confirmation carefully before approving. Prices and quantities cannot be changed once production begins.

Payment Terms

Standard payment terms for wholesale orders:

30% Deposit

Pay 30% of total order value to begin production. Bank wire transfer (T/T) preferred for large orders.

Production

We begin production after deposit confirmation. You receive photos/videos of production progress upon request.

70% Balance

Pay remaining 70% balance before shipment. We send quality inspection photos before shipping.

Shipment

After balance payment, we book shipping and send tracking information within 24 hours.

For orders under $1,000: Full payment upfront required before shipment.

For orders over $20,000: Custom payment terms available (e.g., 20/80 or Letter of Credit). Contact us to negotiate.

Cancellation Policy

Order cancellation terms:

  • Before production: Full refund of deposit, no questions asked
  • During production: Deposit refund minus any costs already incurred (materials, custom tooling)
  • After shipment: Cannot cancel; please refer to dispute resolution below

We recommend confirming stock availability before placing orders for urgent shipments, especially during peak seasons (October – February).

Shipping & Delivery

Once shipped, delivery terms depend on the incoterm chosen:

  • EXW / FOB: Buyer assumes responsibility once goods leave our factory/port. We assist with documentation.
  • CIF: We pay freight and insurance to destination port. Risk transfers to buyer upon loading at origin port.
  • DDP: We handle everything including customs clearance to your door. Buyer pays import duties/taxes.

Shipping times are estimates and may be affected by weather, customs delays, or carrier issues. We cannot guarantee exact delivery dates but will always provide tracking information.

Quality Disputes

We take quality seriously. If you receive products that don’t match specifications:

  • Report within 7 days of receiving shipment with photos/videos
  • Provide your order number and detailed description of the issue
  • We will assess within 48 hours and propose a solution

Accepted solutions may include:

  • Partial refund proportional to defective items
  • Credit toward your next order
  • Replacement shipment (buyer may need to pay return shipping)

We highly recommend ordering samples first to verify product quality before placing large bulk orders.

Returns & Exchanges

Unlike retail e-commerce, wholesale orders generally cannot be returned simply because you changed your mind. Our policy:

  • No returns for incorrect quantity ordered by buyer
  • No returns for color/size preference changes
  • No returns for late arrival unless it causes demonstrable financial loss
  • Returns accepted only for verified quality issues (see Quality Disputes above)

If you need to exchange products for any reason, contact us. We may be able to accommodate at our discretion, but return shipping costs will be borne by buyer.

Product Liability

XAVORO is not liable for:

  • Products damaged during buyer-arranged transport (unless DDP with our carrier)
  • Customs delays, duties, or taxes in destination country
  • Products used improperly or not according to manufacturer guidelines
  • Any indirect, incidental, or consequential damages

We strongly recommend purchasing product liability insurance for your business, especially for electronics or products used by end consumers.
